RETROSPECTIVE CONVERSION PROJECT COMPLETION

Robert Crown Law Library

Four major elements must be addressed in order to complete the retrospective conversion of the collection:

1. Cataloging for materials not currently online, or online with unacceptable records (CSUP, for example).

2. Barcoding the remaining parts of the collection represented by smart barcodes in the pink binder and by newly cataloged titles generated above or by collection (Reference).

3. Review of records in Unicorn.

4. Review of online catalog and inventory of the collection.


Cataloging

Sections from all floors require cataloging work, with some more complete than others.

1st floor stacks:

CSUP titles: to be identified in review of serials online

Successive level entry serial titles (redo as encountered)

Titles in shelflist, not online: to be identified in online review

EB through EY serials need to be evaluated, cataloged, recataloged, and barcoded

2nd floor stacks:

Remaining state codes

Review of PB collection for successive entry serial titles

3rd floor stacks:

FB-FT collection can be handled in the same way as STACKS-1; folders of serials are compiled with an online list from NOTIS.

Foreign serials, form letter M. About 250 smart barcodes are in the pink binder. However, many of the third floor serials are not represented by smart barcodes. Bindery staff will have to identify several (5 or 6)titles that are not online, but that have catalog cards in the shelflist. If they have identified that many, chances are good that others are also waiting. The materials on the third floor will require very close checking with the shelflist, Unicorn, and the items on the shelves.

Basement:

Superseded state codes; these can be started when STACKS-2 collection is finished

State reports

Serial titles identified in Unicorn/shelflist review

Government documents

Compact shelving area (will be identified in review of collection)

Foreign materials

PH collection (state bar proceedings)


Barcoding projects: by location

1st floor stacks:

Multi-volume sets (excluding C form letter)

EH-end of E. As of 2/1/98, the students have nearly 600 multivolume smart barcodes to check on the 1st floor.

Serials (C form letter)

An additional 600-700 serial barcodes for A-F, form letter C remain in another binder. Additional serials have been barcoded as Z or other form letters. Serials cannot be handed to the students without checking. Many of the barcodes are no longer valid. Harriet did not use the pink binder barcodes, nor did she discard them.

One way to handle this is to review the serials as part of checking the online catalog in conjunction with the shelflist and with the serial binder barcodes. Each record is checked online, one by one. Remaining CSUP records are printed so that they can be overlaid with current cataloging. The record for any set needing barcoding is printed and annotated to indicate what work needs to be done to complete the record.

Sets that are split between the BASEMENT and another floor will be barcoded in both locations.

State codes

Reference Desk and Reference Collection

Entire collection needs to be barcoded and individual records checked online, esp. for MARC Holdings information. Some material may also need to be cataloged and will be identified as problems in the barcoding.

OPEN-RESERVE is complete

BIBLIO room is complete

3rd floor stacks:

F collection: a very rough estimate of 1000 barcodes remain in the pink binder and can be continued after the E(s) are completed.

Foreign collection: collection is to move to another floor and will be barcoded after the shift.

Basement:

Much of the collection remains to be cataloged (state codes, state reports, state bar proceedings, etc.) and will be barcoded in conjunction with cataloging.

Many serial sets with holdings split between BASEMENT and upper floors need to be completed. These will be identified and barcoded as part of online and shelflist review of the catalog.

Goldstar Room will wait for the archivist.


Review of student work in Unicorn

Using the yellow sheets completed by the students, each record is displayed online and checked for possible problems. The shelflist card will be pulled as these sets are reviewed to avoid duplication of effort. This review allows identification of:

CSUP records not caught prior to barcoding

Number of volumes online does not match the collation information

MARC Holdings errors or problems

Enumeration of chronological designation does not match the bibliographic information or the MARC Holdings

Obvious online errors (e.g. phony barcodes with copy 361)


Review of online catalog and inventory of collection

Four-sided review: shelflist-to-shelves-to-Unicorn-to-barcodes left over after student sweep.

Each form letter presents different problems. The most straightforward are the form letter A and B records. These can be checked by comparing shelflist cards to Unicorn records to the remaining pink binder barcodes. More needs to be spent checking the other form letters (D, E, F, G, Y, Z).

Case book B(s): some supplements remain on separate records; Reggie will print out and edit these records as time allows.

"C" records will be done as a separate project.

Shelflist cards will be discarded when the item is found to be on the shelf and in the online catalog. Shelflist cards will be retained if the material is not located, if the online record is not found, or if a problem is found with the online record.

Problems this comparison will address:

Barcodes for which there is no record online and no shelflist card. If the call letters also bring up no record, you can discard the barcode.

Phony barcodes remaining online.

Material that is missing from the shelf. If not checked out, the records should be printed and given to circulation to search.

In checking some of the DZ A area, books were so badly misshelved that it was understandable that material was not found in the initial barcoding project. If misshelving is minor, we will put the material in the correct order as we identify the problem. If the problem is major, we will report it to Circulation via e-mail.

Records in the shelflist for which there is no online record.

Extraneous data in records which needs to be deleted (copy 99 orders, for example).

Problems this comparison does not address:

This comparison will not reveal misbarcoded items; e.g. books with barcodes that correspond to other books.

Goldstar Room material that will not be surveyed in this project, so online records will be skipped for that location.

Audiovisual and microfiche material.


This review will be done in increments, based on call letters from the shelflist. Each person working on the project will work on a section until it is complete, then moving on to a new section. We will begin with the form letters A and B, with form letter C being done as a separate project. The remainder of the form letters will also be reviewed.
